PRIVACY POLICY

This privacy policy applies to the Madoo app (hereby referred to as “Application”) for mobile devices that was created by PT Visi Bangun Sejahtera (hereby referred to as “Service Provider”) as a Freemium service. This service is intended for use “AS IS”.

Information Collection and Use

1. Introduction

This Privacy Policy explains how our attendance application (“the App”) collects, uses, stores, and protects personal and sensitive user data, including images used for attendance verification. We are committed to complying with Google Play User Data Policies and applicable laws.

2. Information Collection and Use

The application collects information when you download and use it.


2.1 Geolocation Services

  • This information may include information such as your device’s Internet Protocol address (e.g., IP address).
  • The pages of the Application that you visit, the time and date of your visit, the time spent on those pages
  • The time spent on the Application
  • The operating system you use on your mobile device
  • The application collects your device’s location, which helps the service provider determine your approximate geographical location.
  • Live location tracking is active only when the attendance status is marked as checked in. It ceases upon checkout.
  • The service provider utilizes location data to provide features such as personalized content, relevant recommendations, and location-based services.
  • Analytics and Improvements: Aggregated and anonymized location data helps the Service Provider to analyze user behavior, identify trends, and improve the overall performance and functionality of the Application.


2.2 System Data
The App may collect device information such as:

  • Device model
  • Operating system version
  • App usage logs This data is used solely for improving app performance and troubleshooting.


2.3 Personally Identifiable Information
For a better experience, while using the Application, the Service Provider may require you to provide us with certain personally identifiable information, including but not limited to Email, User ID, Age, Location. The information that the Service Provider request will be retained by them and used as described in this privacy policy. The Service Provider may use the information you provided to contact you from time to time to provide you with important information, required notices and marketing promotions.


2.4 Images (Non-Biometric)
The App does not collect biometric face data. Instead, it captures regular images submitted by users for attendance verification.

3. How We Use the Data


3.1 Image Usage
Selfie photos are collected solely to verify that attendance is performed by the employee themselves. These photos are not used for biometric analysis, facial recognition, or any other biometric data processing. Images submitted by users are used only for attendance verification to confirm that the correct employee is checking in or out. Verification may be done manually by authorized administrators. Selfie photos are only used for attendance verification purposes. They will not be used for marketing, commercial purposes, or shared with third parties without the employee’s consent.


3.2 General Data Usage
Collected data may be used to:

  • Ensure proper functioning of the App
  • Improve user experience
  • Prevent fraudulent activity

4. Third-Party Services and Data Sharing

Periodically, the Service Provider may transmit anonymized location data to external services. These services assist them in enhancing the Application and optimizing their offerings.

Please note that the Application utilizes third-party services that have their own Privacy Policy about handling data. Below are the links to the Privacy Policy of the third-party service providers used by the Application. Google Play Services

The Service Provider may disclose User Provided and Automatically Collected Information:

  • as required by law, such as to comply with a subpoena, or similar legal process;
  • when they believe in good faith that disclosure is necessary to protect their rights, protect your safety or the safety of others, investigate fraud, or respond to a government request;
  • with their trusted services providers who work on their behalf, do not have an independent use of the information we disclose to them, and have agreed to adhere to the rules set forth in this privacy statement.

We do not sell personal or sensitive data. Data may be shared only under these conditions:

  • With service providers necessary for operating the App
  • To comply with valid legal or governmental requests
  • During a business merger or acquisition, with adequate notice to users No data is shared with third parties for advertising purposes.


Third-Party SDKs
If the App integrates third-party SDKs that collect data, we ensure that:

  • All SDKs comply with Google Play policies
  • User consent is properly obtained
  • Required disclosures are displayed in-app

5. Data Retention, Security, and Employee Rights


5.1 Data Retention Policy
The Service Provider will retain User Provided data for as long as you use the Application and for a reasonable time thereafter. Non-image data may be retained as long as necessary to operate and improve the App.


5.2 Image Retention
Photos may be temporarily stored in the attendance system as required. After attendance verification is completed, photos may be deleted or archived according to company policy. All submitted images are stored for a maximum of three (3) months. After this period, the images are permanently deleted from our system. Face Data Retention: The Application does not retain face data permanently. Selfie data is only used for one-time attendance verification and is not stored beyond what is necessary. Face data is not processed as biometric data, is not shared with third parties, and is not used for any other purpose.


5.3 Security
The Service Provider is concerned about safeguarding the confidentiality of your information. The Service Provider provides physical, electronic, and procedural safeguards to protect information the Service Provider processes and maintains. We implement reasonable security measures to protect your data, including:

  • HTTPS encryption for all transmitted data
  • Access controls to restrict data access to authorized administrators Reasonable security measures are applied to protect the data against unauthorized access, misuse, or leaks.


5.4 Employee/User Rights
Employees have the right to know how their selfie data is used. For questions or concerns, please contact HR or the application administrator. Users may request:

  • Information on stored data
  • Deletion of personal data where applicable
  • Clarification on how data is used

6. Consent and Opt-Out


6.1 Your Consent
By using the Application, you are consenting to the processing of your information as set forth in this Privacy Policy now and as amended by us. By using this feature, employees agree to the selfie capture as described in this Privacy Policy.


6.2 Prominent Disclosure (In-App)
When required, the App will display a prominent disclosure within the user interface that:

  • Clearly states what data is collected
  • Explains how the data is used
  • Is visible without navigating into settings or menus

Example Disclosure Text “This app collects image data to verify employee attendance when you submit a check-in or check-out photo. Images are stored securely for up to three months and are not shared with third parties.”


6.3 Consent Requirements
Before accessing or collecting personal or sensitive data, the App will:

  • Display an in-app disclosure
  • Request user consent with a clear action (e.g., tapping an Accept button)
  • Not collect data until the user grants permission The App will not interpret navigation away from the consent dialog as approval.


6.4 Opt-Out Rights
You can stop all collection of information by the Application easily by uninstalling it. You may use the standard uninstall processes as may be available as part of your mobile device or via the mobile application marketplace or network. If you’d like them to delete User Provided Data that you have provided via the Application, please contact them at hello@madoo.tech and they will respond in a reasonable time.

7. Children

The Application does not address anyone under the age of 13. The Service Provider does not knowingly collect personally identifiable information from children under 13 years of age. In the case the Service Provider discover that a child under 13 has provided personal information, the Service Provider will immediately delete this from their servers. If you are a parent or guardian and you are aware that your child has provided us with personal information, please contact the Service Provider (hello@madoo.tech) so that they will be able to take the necessary actions. The Service Provider does not use the Application to knowingly solicit data from or market to children under the age of 13.

8. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. Users will be notified of significant changes.
